> ## Documentation Index > Fetch the complete documentation index at: https://docs.getray.info/llms.txt > Use this file to discover all available pages before exploring further. # Booking policies and pricing schemes > Booking policies and pricing schemes in Bookings → Booking Setup of the RAY admin portal: a booking policy sets the booking type, slot duration, minimum and maximum slots, cancellation notice for refunds, lead times, admin approval, auto-cancellation and booking limits; a pricing scheme sets whether a booking is paid or free, the accepted payment methods and the price. ## Summary Every space in the RAY admin portal is booked under a **booking policy** (the rules: how long, how far ahead, cancellation, approval, limits) and a **pricing scheme** (the price and how it is paid). A space can offer several booking policies, each with one or more pricing schemes. Both are managed in **Bookings → Booking Setup** and linked to spaces in [Spaces](/bookings/spaces). ## Where to find booking policies and pricing schemes * Menu: **Bookings → Booking Setup** (Arabic: **الحجوزات ← إعداد الحجز**), tabs **Booking Policies** (سياسات الحجز) and **Pricing Schemes** (نظم التسعير). * Both can also be created from a space's dialog with **Create New**. ## Who can access booking policies and pricing schemes **Booking Setup** is shown only to users with an **Admin** role that includes the bookings feature. ## Booking Policies list columns **ID**, **Name**, **Type**, **Minimum duration**, **Max duration**, **Cancellation before**, **Concurrent Booking Limit**, and **Edit**. ## Booking policy fields | Field | Required | Meaning and rules | | -------------------------------------------------------- | -------- | --------------------------------------------------------------------------------------------------------------------------------------------------- | | **Name** | Yes | "Make sure to name your policy something relevant for better accessibility when creating a space". | | **Display Name** | No | "Name that will be displayed on the mobile app". | | **Tag** | No | At most 20 characters. | | **Type** | Yes | **Hourly**, **Daily**, **Weekly**, **Monthly**, **Quarterly** or **Yearly**. | | **Slot Duration** | Yes | For **Hourly**: 15, 30 or 60 minutes. For other types: a number of that type's units. | | **Minimum Number of Slots**, **Maximum Number of Slots** | Yes | The shortest and longest booking, in slots. The portal shows the result, for example "A user can book a minimum of 30 minutes". | | **Cancellation Type**, **Cancellation Notice Period** | Yes | The unit and length of the notice period. "Users will receive 100% refund if they cancel before this time". | | **Minimum Lead Time** | No | Tick to set how long before the start a booking must be made, with a unit (**Minutes** to **Years**). | | **Maximum Lead Time** | No | Tick to set how far ahead a booking can be made. It cannot be less than the minimum ("Minimum lead time cannot be greater than maximum lead time"). | | **Requires Admin Approval** | No | Bookings start as **Pending** and wait for an admin to **Confirm** them in **Booking Records**. | | **Auto Cancellation Before** | Yes | The auto-cancellation period: a number and a unit. | | **Concurrent Booking Limit** | No | Tick to set "the maximum number of spaces that can be booked at the same time by the same user". At least 1. | | **Maximum Upcoming Bookings** | No | Tick to set "the maximum number of bookings a user can have at the same time under this policy". At least 1. | ## How to create a booking policy 1. Open **Bookings → Booking Setup**, tab **Booking Policies**. 2. Click **Add**. 3. Enter the **Name**, choose the **Type** and the **Slot Duration**, and set the minimum and maximum number of slots. 4. Set the **Cancellation Type** and **Cancellation Notice Period**, the **Auto Cancellation Before**, and any optional limits. 5. Tick **Requires Admin Approval** if bookings must be approved. 6. Click **Save**. ## Pricing Schemes list columns **Name**, **Mode** (**Paid** or **Free**), **Method** (the accepted payment methods), **Type**, and **Edit**. ## Pricing scheme fields The portal introduces the form with "Specify if you're pricing per hour or per day and what type of payment you accept". | Field | Required | Meaning and rules | | ------------------------------ | ----------------------------------------------- | --------------------------------------------------------------------------------------------------------------------------------------------- | | **Name** | Yes | Name of the pricing scheme. | | **Display Name** | No | "Name that will be displayed on the mobile app". | | **Tag** | No | At most 20 characters. | | **Type** | Yes | **Hourly**, **Daily**, **Weekly**, **Monthly**, **Quarterly** or **Yearly**. Cannot be changed after the scheme is saved. | | **Groups** | No | Groups linked to the pricing scheme. | | **Payment Modes** | Yes | **Paid** or **Free**. **Free** disables the payment methods and prices. | | **Payment Methods** | For paid schemes | **Postpaid (Cash or Card)**, **Prepaid (Online)**, **Prepaid (Subscription)**, **On-Site (Cash)**, **On-Site (Card)**. Several can be ticked. | | **Price Amount**, **Currency** | For paid schemes with a non-subscription method | The price. At least 1 ("Price cannot be below 1"). | | **Price in Credits** | With **Prepaid (Subscription)** | The price in subscription credits. At least 1. | ## How to create a pricing scheme 1. Open **Bookings → Booking Setup**, tab **Pricing Schemes**. 2. Click **Add**. 3. Enter the **Name** and choose the **Type**. 4. Choose **Paid** or **Free**. For **Paid**, tick the **Payment Methods** and enter the **Price Amount** and **Currency**, and the **Price in Credits** for subscriptions. 5. Click **Save**. ## Common questions about booking policies and pricing ### How do I make bookings of a room need approval? Tick **Requires Admin Approval** on the booking policy used by the room. New bookings then show as **Pending** until an admin clicks **Confirm** in **Booking Records**. ### How do I limit bookings to at most 2 hours? Use an **Hourly** policy and set **Slot Duration** and **Maximum Number of Slots** so that the maximum is 2 hours, for example 60 minutes and 2 slots. ### How do I stop people booking more than a week ahead? Tick **Maximum Lead Time** on the booking policy and set it to 1 week. ### How do I give a full refund when people cancel at least 24 hours before? Set the policy's **Cancellation Notice Period** to 24 hours. ### Why can't I change the type of a pricing scheme? A pricing scheme's **Type** is locked once it is saved.
