# Events

> The Events screen of the RAY admin portal creates community events with a title, description, image, attachments, category, RSVP or registration link, location and one or more dated occurrences; events are invited to all users or specific users and groups, published, and track who is attending. Found under Community → Events.

## Summary

The **Events** screen in the RAY admin portal manages community events, such as a family day or a
fitness class. An event has content (title, description, image), an RSVP or a registration link, a
location, and one or more **occurrences** (dates and times). An event is **Pending** until it is
published. The screen has two tabs: **Events** and **Categories**.

## Where to find Events

* Menu: **Community → Events** (Arabic: **المجتمع ← الأحداث**)
* Tabs: **Events** and **Categories**
* Clicking an event opens its page.

## Who can access Events

Events is shown only to users with an **Admin** role that includes the events feature.

## Events list columns

**Image**, **Title**, **Description**, **Location**, **Invited Users**, **Published On**, **Start Time**
and **End Time** (of the first occurrence), **Status** (**Published** or **Pending**, with **Publish**)
and **Edit**. Filter by **Search** (tag) and **Date Range**.

## Event fields

When creating an event, the portal explains the **Invite** choice: with **All Users**, "Once saved, you
can no longer modify the event audience. the event will be available to all users."; with specific
users, "Once saved, you can invite users in the audience section."

## How to create an event

1. Open **Community → Events** and click **Add**.
2. Fill in the **Title**, **Description** and **Location Name**, and any optional fields.
3. Choose **RSVP** and its options, or a **Registration Link**.
4. Choose who to **Invite**.
5. Click **Save**.
6. Open the event, go to **Location and Timing** and **Add** at least one occurrence (see below).
7. Click the **Pending** status and choose **Publish**.

## Event page

The event page shows the event's details, images and location, with **Edit** and **Delete** at the top
and the status (**Pending** with **Publish**, or **Published**). Tabs:

* **Location and Timing** (الموقع والتوقيت): the occurrences, with **Location Name**, **Start Time** and
  **End Time**. **Add** an occurrence, or **Edit** or **Delete** one. An occurrence has a **Start
  Time**, an **End Time**, and either the **Default location** or its own **Location Name** and
  **Location Direction**.
* **Audience (`<number>`)**: the invitees, with **Host Name** and, when RSVP is on, each invitee's
  answer: **Attending** (with **Checked In** when they checked in), **Maybe**, **Not Interested** or **No
  Response**. For events invited to specific users, **Add** invites more users or groups and **Delete**
  removes an invitee. **Export** downloads the list.
* **Attachments**: the event's files.

## Common questions about events

### How do I run the same event on several days?

Add one occurrence per day in the event's **Location and Timing** tab.

### How do I see who is coming?

Open the event and select the **Audience** tab. With **RSVP** on, each invitee shows **Attending**,
**Maybe**, **Not Interested** or **No Response**. Use **Export** to download the list.

### How do I invite more people to an event?

Open the event, **Audience** tab, **Add**. This is only possible for events invited to specific users
and groups; an event invited to **All Users** cannot change its audience.

### Why don't users see my event?

It is still **Pending**. Click the status and choose **Publish**.
