# Suggestion Box

> The Suggestion Box screen of the RAY admin portal collects suggestions sent by users: staff change a suggestion's type, email it on, archive and delete suggestions; admins also manage suggestion types (with their audience and notification emails) and settings such as anonymous submissions. Found under Community → Suggestion Box.

## Summary

The **Suggestion Box** screen in the RAY admin portal collects suggestions that users send, optionally
anonymously. Each suggestion can have a **type** (for example "Maintenance" or "Security"), and each
type can email its suggestions to chosen addresses. Staff review suggestions, forward them by email,
change their type and archive them.

## Where to find Suggestion Box

* Menu: **Community → Suggestion Box** (Arabic: **المجتمع ← صندوق الاقتراحات**)
* Tabs: **Submissions**, **Archived Submissions** (الاقتراحات المؤرشفة), and for admins **Types**
  (الأنواع) and **Settings** (الإعدادات).

## Who can access Suggestion Box

Suggestion Box is shown to users with an **Admin** or **Operator** role that includes the suggestion box
feature. Operators see only the **Submissions** and **Archived Submissions** tabs; the **Types** and
**Settings** tabs need an Admin role.

## Submissions tab

Columns: **Subject**, **Type**, **Message** (click to read), **From** (the user, or **Anonymous**),
**Sent to** (click **View Sent to Emails**), **Submission Date**. Filter by **Message** text and **Date
Range**.

Actions on a suggestion, from its row or in bulk for several ticked suggestions (**Selected
Suggestions**):

* **Change Type**: choose a new **Type** and **Save**.
* **Email**: enter the addresses in **Email to** (semicolon-separated) and **Save** to send the
  suggestion on.
* **Archive**: moves the suggestion to **Archived Submissions**.

## Archived Submissions tab

The same columns as **Submissions**. The only action is **Delete**, from the row or in bulk.

## Suggestion types

The **Types** tab lists types by **Name** and **Audience** (**View Audience**). Type fields:

| Field                           | Meaning and rules                                                     |
| ------------------------------- | --------------------------------------------------------------------- |
| **Name**                        | Per language.                                                         |
| **Available to Specific Users** | The specific users the type is available to.                          |
| **Email to**                    | Addresses that receive suggestions of this type, semicolon-separated. |

## Suggestion Box settings

| Setting                   | What the portal says                                                                                          |
| ------------------------- | ------------------------------------------------------------------------------------------------------------- |
| Emails for any type       | "Write the emails that will receive an email when a suggestion of any type is received". Semicolon-separated. |
| Emails for no type        | "Write the emails that will receive an email when a suggestion of no type is received". Semicolon-separated.  |
| **Anonymous Submissions** | "Select whether the users are allowed or not to submit suggestions anonymously".                              |

Click **Save** after changing the settings.

## Common questions about the suggestion box

### How do I send suggestions about maintenance to the maintenance team automatically?

Create a **Maintenance** type in the **Types** tab and put the team's addresses in **Email to**.

### How do I stop anonymous suggestions?

Turn off **Anonymous Submissions** in the **Settings** tab and click **Save**.

### How do I forward a suggestion to a manager?

Use **Email** on the suggestion and enter the manager's address.
