# Companies

> The Companies screen manages the companies whose employees use the organization's RAY app: create and activate companies, edit a company's name, domain name, website, public email, address and logo, link units and keep billing addresses, and set what company managers may do on the RAY Hub. Found under Directory → Companies in the RAY admin portal.

## Summary

The **Companies** screen in the RAY admin portal manages **companies**: organizations whose
employees are tenants, for example the office occupiers of a business campus. Each company has a
name, contact details, a logo, an **Active** or **Inactive** status, members and managers, linked
units and billing addresses. Company managers look after their own company on the RAY Hub; the
**Settings** tab of the Companies screen decides what they may do there. Members, managers and
member requests are described in [Company members and requests](/directory/company-members-and-requests).

## Where to find the Companies screen

* Menu: **Directory → Companies** (Arabic: **الدليل ← الشركات**)
* Tabs: **Companies** (the list), **Member Requests** and **Settings**.
* Clicking a company opens the company's detail page, with the tabs **Members**, **Managers**,
  **Units** and **Billing Addresses**.

## Who can access the Companies screen

The Companies menu entry is shown only to users with an **Admin** role that includes the companies
feature. See [Roles and permissions](/getting-started/roles-and-permissions).

## Companies list columns

| Column      | Meaning                                                                         |
| ----------- | ------------------------------------------------------------------------------- |
| **Logo**    | The company logo. Click to enlarge.                                             |
| **Name**    | Name of the company.                                                            |
| **Members** | Number of members of the company.                                               |
| **Status**  | **Active** or **Inactive**. The tag also offers **Deactivate** or **Activate**. |

The list can be filtered by **Name** and **Status**, and exported with **Export** in the **⋮**
(more) menu. When no company exists yet, the tab shows "No companies added, yet" with a **Create New
Company** button and an overview of the company lifecycle.

## Company fields

| Field              | Required | Meaning and rules                                                                                                                                                |

| **Name**           | Yes      | Name of the company, entered per language. The only field asked when creating a company.                                                                         |
| **Domain Name**    | No       | The company's email domain, shown after an **@**. "Specify a unique, valid domain name for your website". Used to warn when a new member's email does not match. |
| **Public Website** | No       | "Url must start with http\:// or https\://".                                                                                                                     |
| **Public Email**   | No       | Must be a valid email address.                                                                                                                                   |
| **Address**        | No       | Free-text address.                                                                                                                                               |
| **Logo**           | No       | One image.                                                                                                                                                       |

## How to create a company

1. Open **Directory → Companies**.
2. Click **Add** (or **Create New Company** when the list is empty).
3. Enter the **Name**.
4. Click **Save**.

The portal opens the new company's detail page, where the other fields, members and units are
added.

## How to edit a company

1. Open **Directory → Companies** and click the company.
2. Edit the **Name**, **Domain Name**, **Public Website**, **Public Email**, **Address** or **Logo**
   directly on the company detail page.
3. Save the change.

## How to activate or deactivate a company

1. Open **Directory → Companies**.
2. Click the company's **Status** tag (**Active** or **Inactive**) in the list, or the status tag at
   the top of the company detail page.
3. Choose **Deactivate** and confirm, or choose **Activate**.

While a company is **Inactive**:

* members and managers cannot be added or linked, and their type and status cannot be changed;
* members cannot be assigned to or unassigned from units ("Members cannot be assigned to units while
  the company is inactive.");
* units cannot be linked to the company;
* billing addresses can still be added, edited and deleted, and units can still be unlinked.

A company-managed account "is linked to one and only one company. Deactivating the company or this
user will prevent them from logging in".

## Company Units tab

The **Units** tab of a company lists the units linked to the company by **Name**. Clicking a unit
opens it. A unit can belong to one company at a time.

### How to link a unit to a company

1. Open the company from **Directory → Companies**.
2. Open the **Units** tab and click **Link**.
3. Read the warning: "Linking this unit to the company will terminate any existing leases and remove
   all tenants currently linked to the unit."
4. Choose the **Unit**.
5. Click **Save**.

To remove a unit from the company, click **Unlink** on its row and confirm.

## Company Billing Addresses tab

The **Billing Addresses** tab keeps the legal addresses used when invoicing the company. The list
shows **Full Name**, **Country**, **City**, **Buyer ID Type** and **Buyer ID**, with **Edit** and
**Delete** on each row.

### How to add a billing address to a company

1. Open the company and open the **Billing Addresses** tab.
2. Click **Add**.
3. Fill in the **Entity Name**, **Country** and **City**, and optionally the **State**, **Street**,
   **Building**, **Floor**, **Secondary Number**, **District**, **Postal Code**, **Tax Registration
   Number**, **Buyer ID Type** and **Buyer ID**. **Buyer ID** becomes required once a **Buyer ID
   Type** is chosen.
4. Click **Save**.

A company's billing address is chosen when an invoice is billed to the company under **Payments →
Invoices**.

## Company Settings tab

The **Settings** tab of **Directory → Companies** applies to all companies. Under **Company
Manager**, it sets what company managers may do on the RAY Hub:

Click **Save** after changing a setting. With **Requires Admin Approval**, the manager's change
waits in the **Member Requests** tab until an admin approves or declines it. See

## Common questions about Companies

### Why can't I see the Companies menu?

The Companies menu is hidden when none of your roles is an Admin role with the companies feature.
Ask an administrator with access to **Administration → Roles & Permissions** to add that feature to
your role.

### Why is the Add or Link button disabled on a company's Members, Managers or Units tab?

The company is **Inactive**. Activate the company from its **Status** tag first.

### What happens to a unit's tenants when I link the unit to a company?

The portal warns: "Linking this unit to the company will terminate any existing leases and remove
all tenants currently linked to the unit."

### What does "company-managed" mean?

A company-managed user is a user linked to a company as a member or manager. The user's detail page
shows a tick in **Company Managed**. Such an account "is linked to one and only one company", and
deactivating the company or the user prevents them from logging in.

### Can company managers edit their company themselves?

Only if **Can edit company details** is **Yes** in the **Settings** tab of **Directory →
Companies**.
