Summary

Every company in the RAY admin portal has members (its employees or occupants) and managers (members who look after the company on the RAY Hub). An admin manages both from the company’s Members and Managers tabs: adding brand-new users, linking existing users, switching a person between member and manager, activating, deactivating or deleting them, and assigning them to the company’s units. When company managers make changes that need admin approval, those changes appear as Member Requests. Company records themselves are described in Companies.

Where to find company members and requests

  • Members and managers: Directory → Companies (Arabic: الدليل ← الشركات), click a company, then the Members or Managers tab.
  • Requests: Directory → Companies, tab Member Requests. Clicking a request opens its detail page.

Who can manage company members and requests

Admins whose role includes the companies feature. See Roles and permissions.

Company Members and Managers tab columns

The Members tab lists the company’s members and the Managers tab its managers, with the same columns: Each row has a checkbox for the Bulk actions list (Assign Unit, Unassign Unit).

How to add a new user to a company

Add creates a new user who does not exist in RAY yet.
  1. Open the company and the Members tab (or Managers tab to add a manager).
  2. Click Add. The dialog is titled Add Member or Add Manager and warns “This user will become company-managed”.
  3. Enter the First Name and Last Name (2 to 50 characters each) and the Email.
  4. Optionally enter the Phone Number and choose one of the company’s Units.
  5. Click Save.
If the email does not match the company’s Domain Name, the dialog shows “This user’s email doesn’t match the company domain name. The user will still be a company-managed user”. The warning does not block saving. Link attaches users who already exist in RAY.
  1. Open the company and the Members tab (or Managers tab).
  2. Click Link. The dialog warns “Selected users will become company-managed”.
  3. Select one or more users.
  4. Optionally choose one of the company’s Units. All the selected users get that unit.
  5. Click Save.
A user can belong to only one company; see “What does company-managed mean?” in Companies.

How to change a company member into a manager

  1. Open the company and the Members tab.
  2. Click the person’s Type tag (Member) and choose Manager.
The person moves to the Managers tab. Use the same steps in the Managers tab to turn a manager back into a member.

How to deactivate or delete a company member

  • To stop a member signing in, click the Activated tag in the Active column, choose Deactivate, and confirm. Choose Activate on a Deactivated tag to reverse it.
  • To remove a member, click Delete on the row and confirm the Delete dialog.
The same actions exist in the Managers tab for managers.

How to assign company members to a unit

  1. Open the company and the Members or Managers tab.
  2. Tick the people to assign.
  3. In Bulk actions, choose Assign Unit (or Unassign Unit to remove them from a unit).
  4. Choose the Unit from the company’s units.
  5. Click Assign (or Unassign).
The unit list contains only units linked to the company in its Units tab.

Member Requests list

The Member Requests tab of Directory → Companies lists requests raised by company managers for all companies: Quick filters above the list show All requests or one status. The filters also offer Company Name, Request Type and Requested on.

How to approve or decline a member request

  1. Open Directory → Companies, tab Member Requests.
  2. Find the Pending request. Optionally click it to see the Request Information, Company Information and Member Information on its detail page.
  3. Click the Pending status tag (in the list or at the top of the detail page).
  4. Choose Approve, or choose Decline, enter the Reason (“Please provide a reason for declining this request.”) and confirm.
Only Pending requests can be approved or declined; the other statuses are final.

Common questions about company members and requests

The company is Inactive. While a company is inactive, Add and Link are disabled and Assign Unit / Unassign Unit are disabled with the tooltip “Members cannot be assigned to units while the company is inactive.” Activate the company first. Add creates a brand-new user from a name and email. Link attaches one or more users who already exist in RAY. Both make the users company-managed.

Why do company managers’ changes appear in Member Requests?

In the Settings tab of Directory → Companies, the matching manager permission is set to Requires Admin Approval. Set it to Yes to let managers act without approval, or No to stop them.

Why is a unit missing from the Assign Unit list?

The list shows only units linked to the company. Link the unit in the company’s Units tab first.
  • Companies: company records, units, billing addresses and manager settings.
  • User detail tabs: linking a user to a company from the user’s page.
  • Users: all users of the organization.
