Summary

A user’s detail page in the RAY admin portal, opened by clicking a user under Directory → Users, ends with a row of tabs. The tabs show and manage everything linked to that user: the units they live or work in, their company, their groups, their primary user or dependents, their vehicles and pets, their portal roles, the phones they use the app on, and the organization’s custom profile fields. The user’s own fields are described in Users.

Where to find the user detail tabs

  • Menu: Directory → Users (Arabic: الدليل ← المستخدمين), then click a user.
  • The tabs are below the user’s fields, in this order: Units, Companies, Groups, Dependencies, Vehicles, Pets, Assigned Roles, Devices, Custom Profile Fields.

Who can see each user detail tab

Every admin who can open Directory → Users sees Groups, Dependencies and Devices. The other tabs also need a feature in the admin’s own role:

User Units tab

The Units tab lists the units the user is linked to, with the columns Name and Relationship. Clicking a unit name opens the unit. Relationship shows how the user is linked: Lease when the unit has a lease, Company (with Direct) when the unit belongs to a company and the user is company-managed, and otherwise Direct or Group.
  1. Open the user from Directory → Users and open the Units tab.
  2. Click Link.
  3. For a company-managed user, choose Personal Units or Company Units. Company Units lists only the units of the user’s company.
  4. Choose the Unit.
  5. Click Save. The portal confirms “Unit Linked Successfully”.
To remove a direct link, click Unlink on the unit’s row and confirm. Unlink is not offered for units the user holds through a lease.

User Companies tab

The Companies tab lists the companies the user belongs to, with the columns Name (click to open the company) and Status (Active or Inactive).
  1. Open the user and open the Companies tab.
  2. Click Link.
  3. Choose the company in Companies.
  4. Choose the Type: Member or Manager.
  5. Click Save.
The dialog warns “This user will become company-managed”. A company-managed account “is linked to one and only one company. Deactivating the company or this user will prevent them from logging in”. If the user’s email domain differs from the company’s Domain Name, the dialog shows: “This user’s email doesn’t match the company domain name. The user will still be a company-managed user”. Once a company-managed user belongs to a company, Link is disabled with the tooltip “This user already belongs to a company.”

User Groups tab

The Groups tab lists the groups the user belongs to, by Name (click to open the group). By default it shows only groups the user was added to directly; clear Direct Groups Only in the filters to also see groups the user belongs to through a parent group.

How to add a user to a group from the user’s page

  1. Open the user and open the Groups tab.
  2. Click Add.
  3. Choose the Group and click Save. The portal confirms “Group Added Successfully”.
To take the user out of a group, click Leave on the group’s row, then Remove in the Remove From Group dialog. Leave is offered only for groups the user was added to directly, and not for groups RAY manages automatically.

User Dependencies tab

The Dependencies tab links a primary user to their dependents, such as a spouse, children, a driver or a maid. A user is either a primary user (has dependents), a dependent (has one primary user), or neither. The tab lists the related users with a Relation column and Edit and Delete actions. Relation is one of: Spouse, Sibling, Child, Maid, Driver, Gardner, Nanny, Concierge, Co-Tenant, Worker, Visitor, Relative.

How to add a dependent to a user

  1. Open the primary user and open the Dependencies tab.
  2. Click Add and choose Add a Dependent.
  3. Select the Dependent user.
  4. Choose the Relation.
  5. Click Save.

  3. Select the Primary user and choose the Relation.
  4. Click Save.
Link to Primary is disabled for a user who already has dependents. Add is disabled for a user who is already a dependent. To change a relation, click Edit on the row; to break the link, click Delete and confirm.

User Vehicles tab

The Vehicles tab lists the user’s vehicles with the same columns as Directory → Vehicles, without the owner column. Clicking a vehicle opens it. Vehicles are added from Vehicles.

User Pets tab

The Pets tab lists the user’s pets with the same columns as Directory → Pets, without the owner column. Clicking a pet opens it. Pets are added from Pets.

User Assigned Roles tab

The Assigned Roles tab lists the user’s portal roles with the columns Role, Type (Admin, Operator or Security) and Location (Global or a location name).

How to assign a portal role to a user

  1. Open the user and open the Assigned Roles tab.
  2. Click Assign.
  3. Choose the Role and click Save.
To remove a role from the user, click the remove icon on the role’s row and confirm. Roles are created under Roles & Permissions.

User Devices tab

The Devices tab lists the phones and tablets on which the user installed the RAY app: The Devices tab is read-only.

User Custom Profile Fields tab

The Custom Profile Fields tab shows the extra profile fields the organization defined under Profile Customization, filled in for this user. An admin can edit the values and save them. When the organization has no custom fields, the tab shows “No Data to Display”.

Common questions about user detail tabs

Why don’t I see the Units, Companies, Vehicles or Pets tab on a user?

Those tabs appear only when your own role includes the matching feature (buildings and units, companies, vehicles or pets). See the table in “Who can see each user detail tab”. The user is company-managed and already belongs to a company. A company-managed account is linked to one and only one company.

Why can’t I add a dependent to this user?

The user is already a dependent of another primary user, so Add is disabled. A dependent cannot have dependents of their own. The portal also refuses a user who is already a dependent elsewhere (“The selected user is already a dependent on a primary user”) or who is a primary user (“The selected user is a primary user and cannot be added as a dependent user”).

What happens to dependents when the primary user is deleted?

The confirmation says: “Deleting this user will not remove their dependents. Dependents will remain linked to a deleted user.” The dependents’ Dependencies tab then shows the primary user as Deleted User.

Why is there no Leave action for a group?

Leave is shown only for groups the user was added to directly, and not for groups RAY manages automatically. With Direct Groups Only cleared, inherited groups have no Leave action.
